About the Role

Overview:

ProxyLink is seeking an Administrative Assistant to support our client in their Downtown Toronto office. This full-time role, spanning a 12-month assignment, requires the candidate to work onsite. The Administrative Assistant will play an integral role in providing comprehensive support to the Training Manager and ensuring the seamless operation of daily administrative tasks within the organization.

Compensation:
$21.57/Hourly

Responsibilities:
Courses Administration: Coordinate the start and end of all courses, including document collection, scheduling, updating files, record keeping, and issuing certificates.
Cross-check files and maintain accurate records.
Conduct course moderations and arrange specialized training as required.
Customer Satisfaction: Prioritize daily duties to meet customer expectations and requirements according to the policy manual and established processes.
Offer support to colleagues when required.
Communication and Responsiveness: Respond to all internal and customer inquiries within 24 hours.
Ensure reachability during working hours via Teams messages, calls, phone calls, or texts.
Respond to all contacts within one hour of receipt.
Task Completion: Complete all work responsibilities as defined by the ICD document, company policy manual, and job description with minimal reminders, or within 24 hours of receiving a reminder from the Training Manager.
Customer Feedback: Consistently meet customer requirements, as evidenced by positive feedback and minimal complaints. Achieve a customer satisfaction rate with no more than one complaint per month.
Promptly address and resolve any customer complaints within 24 hours to the customer's satisfaction.
Audits and Findings: Answer all internal and external audit findings within the required time frame with a goal of having no repeat findings.
Regularly track and record the progress of audit findings answered within the stipulated time and number of repeat findings.

Qualifications:
Technical Skills: Proficiency in computers and MS suite applications, including creating spreadsheets, analysis, and understanding project management.
Communication Skills: Excellent communication skills to effectively interact with colleagues, clients, and other stakeholders.
Organizational Skills: Strong organizational skills to manage schedules, projects, and multiple tasks, along with being a self-starter.
Attention to Detail: Ability to pay close attention to detail and catch errors or discrepancies to ensure accuracy and completeness of work.
Adaptability: Ability to adapt to changing circumstances and handle unexpected tasks or situations.
Problem-Solving: Ability to identify and solve problems quickly and effectively.
